Travel Office Assistant at CERIC-ERIC – Closed on December 16th, 2018

The Central European Research Infrastructure Consortium, CERIC–ERIC, is a multidisciplinary Research Infrastructure open for basic and applied research in all fields of Materials, Biomaterials and Nanotechnology. CERIC has been built by integrating leading national research facilities based in 8 countries (Austria, Croatia, Czech Republic, Hungary, Italy, Poland, Romania and Slovenia) into a unique European entity supporting the production of basic knowledge and technology transfer, and promoting the mobility of researchers in an international multicultural scientific environment.

We are currently looking for a Travel Office Assistant who would be responsible for handling all travel related matters for CERIC-ERIC staff, bodies and collaborators, including managing itineraries, finding the best transportation options, booking hotels and transportation according to CERIC policies and procedures with the goal of obtaining the best value for the Consortium.

Main duties:

  • Make travel arrangements for CERIC events, meetings, individual business travel for the CERIC staff, bodies and collaborators.
  • Maintain travel records and approvals.
  • Process travel expenses in accordance with company policy
  • perform all necessary administrative duties related to this task, such as budgeting, reporting and accounting.
  • Undertake ad hoc project work and other duties when required

Qualifications and essential requirements

  • Positive attitude, applied, keen to learn and adapt to new challenges
  • Excellent customer service skills
  • Highly organised, comfortable with multi-tasking and with good attention to detail
  • Ability to interact easily in a multicultural environment;
  • High school Degree or equivalent with minimum 3 years working experience in travel management.
  • Excellent IT skills, specially MS Office Suite;
  • Excellent written and verbal communication skills. Working language is English.
  • Initiative, good judgement and the ability to communicate clearly
  • High attention to details

Desirable skills

  • Experience with handling Corporate business travel will be an advantage
  • Excellent written and oral communication in English including report writing skills. Must be able to effectively communicate with CERIC-ERIC staff and various other parties involved in the arrangements of logistics
  • Motivated, enthusiastic attitude and able to work on own initiative
  • Good team player with a flexible approach
  • Good knowledge of Italian language
